# Add and manage team members

> Invite people to work on a chatbot, choose their role, and remove them.

Team members can work on a chatbot with you. Each member has a role that controls what they can do.

## Before you start

* **Plan:** the number of team members depends on the chatbot owner's plan. See [Plans and limits](/docs/reference/plans-and-limits.md).
* **Role:** you need to be a Manager, Admin, or Super Admin on the chatbot to open **Members**.
* **Have ready:** the email address of each person you want to invite.

## Roles

The chatbot creator is the owner and is always a Super Admin. Each member you invite gets one role.

| What the member can do | Agent | Manager | Admin | Super Admin |
| - | - | - | - | - |
| View the dashboard and analytics | Yes | Yes | Yes | Yes |
| Read conversations, reply, take over, and resolve | Yes | Yes | Yes | Yes |
| Delete conversations | No | Yes | Yes | Yes |
| View, edit, and delete leads | Yes | Yes | Yes | Yes |
| Add, edit, and delete content | No | Yes | Yes | Yes |
| Change appearance, conversation starters, follow-up suggestions, and human support | No | Yes | Yes | Yes |
| Change settings (General, Chat Modes, Localization, Personas, Instructions, Webhooks) | No | Yes | Yes | Yes |
| Set up integrations | No | Yes | Yes | Yes |
| See installation code | No | Yes | Yes | Yes |
| Open the **Members** page | No | Yes | Yes | Yes |
| Invite and remove Agents | No | Yes | Yes | Yes |
| Invite and remove Managers and Admins | No | No | Yes | Yes |
| Invite and remove Super Admins | No | No | No | Yes |
| Delete the chatbot | No | No | No | Yes |
| Transfer the chatbot to another owner | No | No | No | Yes |

Every role can use the [SiteGPT iPhone app](/docs/guides/human-support/iphone-app.md), and every role can do everything in the app, including deleting leads.

Billing is not part of any role. Each person sees only their own plan and billing. See [Manage your plan and billing](/docs/guides/account/billing.md).

## How the member limit works

* The limit comes from the plan of the person who owns the chatbot.
* One person counts once, even if they are a member of several of your chatbots.
* You count as one member.
* Pending invites count toward the limit until you delete them, or the person accepts or declines.

When you reach the limit, the **Members** page shows an **Upgrade** banner and you cannot invite more people. You can still send the invitation email again for a pending invite. See [Send the invitation email again](#send-the-invitation-email-again).

## Invite a team member

**1. Open Members**

In the chatbot sidebar, under **Advanced**, select **Members**.

**2. Enter the email address**

Type the person's email address in the field **Enter an email address...**.

**3. Choose a role**

Open the role menu and select a role. The menu shows only the roles you are allowed to invite. The default is **Agent**.

**4. Send the invite**

Select **Send Invite**.

SiteGPT sends the person an invitation email. The subject is `You are invited to <chatbot name> on SiteGPT`. The email shows your name, or your email address if your profile has no name. It also shows the chatbot and the role. The person selects **Accept invitation**, then **Continue to SiteGPT** on the page that opens, to join. They do not need a password. If they do not have a SiteGPT account yet, SiteGPT creates one.

The **Accept invitation** button works for 1 hour. The invite does not expire. After the button expires, the person signs in at sitegpt.ai with the invited email address and accepts the invite on the **Chatbots** page. See [Accept or decline an invite](#accept-or-decline-an-invite). Signing in alone does not add the person to the chatbot, also in the iPhone app. If they became a member of the chatbot in another way before they accept, they keep their current role.

SiteGPT does not send an invite in these cases:

| Case | Message on the **Members** page |
| - | - |
| The person is already a member of the chatbot | The email address, then "is already a member of this chatbot." |
| The person has a pending invite with another role | The email address, then "already has a pending invite as" and the role, then "Cancel that invite first to invite them with another role." To change the role, delete the pending invite under **Pending Invitations**, then invite the person again. |
| The member limit is reached and the person has no pending invite | **Send Invite** stays turned off. If the limit is reached while the page is open, the page shows "You have exceeded your members quota. Please ask your admin to upgrade to a higher plan". |

If SiteGPT saves the invite but cannot send the email, the page says that the invite is saved, but its email was not sent. Invite the same email address again with the same role to send it.

### Check that it works

The invite shows under **Pending Invitations** with the role you chose. When the person accepts, they move to the members list. When they decline, the invite is no longer in the list. SiteGPT does not tell you when a person declines.

### Send the invitation email again

Invite the same email address again with the same role. SiteGPT sends the invitation email for the pending invite again and does not create a second invite. The page shows the email address, then "already had a pending invite. We sent the invite email again." This works also when you reached the member limit, because the pending invite already counts.

You can also tell the person to sign in at sitegpt.ai with the invited email address. Then they select **Accept** under **Pending Invitations** on the **Chatbots** page. See [Accept or decline an invite](#accept-or-decline-an-invite).

## Accept or decline an invite

This section is for the person who got the invite.

* **With the email button:** select **Accept invitation** in the email, then **Continue to SiteGPT**. You join the chatbot at once. The dashboard shows "Accepting invitation...", then "Invitation accepted." If the invite was already used or deleted, it shows "This invitation was already used or removed."
* **On the dashboard:** sign in at sitegpt.ai with the invited email address. The **Chatbots** page shows your invites under **Pending Invitations**, above your chatbots. Each card shows the chatbot, the person who invited you, and the role. Select **Accept** or **Decline**, and confirm. After you accept, the page shows "You joined" and the chatbot name, and the chatbot shows in your list. A declined invite is deleted. To join later, you need a new invite.

The iPhone app cannot accept an invite. Accept it on the web first. To leave a chatbot after you join, see [Leave a chatbot](#leave-a-chatbot).

## Change a member's role

You cannot change a role directly.

**1. Remove the member**

On the **Members** page, select **Remove** next to the member, and confirm.

**2. Invite them again**

Invite the same email address with the new role. See [Invite a team member](#invite-a-team-member).

### Check that it works

The invite shows under **Pending Invitations** with the new role. After the person accepts, the members list shows the new role.

## Remove a team member

**1. Open Members**

In the chatbot sidebar, under **Advanced**, select **Members**.

**2. Remove the member**

Select **Remove** next to the member, and confirm.

You can remove members only if your role is allowed to manage their role. See the [roles table](#roles).

To cancel an invite that was not accepted, select **Delete** next to it under **Pending Invitations**. The invite also leaves the person's **Chatbots** page. If the person selects **Accept invitation** after you delete the invite, they sign in, and the dashboard shows "This invitation was already used or removed." SiteGPT does not add them to the chatbot.

### Check that it works

The member is no longer in the list. They can no longer open the chatbot.

## Leave a chatbot

To leave a chatbot that someone else owns, select **Leave** next to your own name on the **Members** page, and confirm. After you leave, you cannot open the chatbot unless someone invites you again.

Agents cannot open the **Members** page. If you are an Agent, ask a Manager, Admin, or Super Admin of the chatbot to remove you.

The owner cannot leave or be removed. To hand the chatbot to someone else, [transfer it](/docs/guides/account/manage-chatbots.md#transfer-a-chatbot-to-another-owner).
